10 Resume Mistakes That Get You Filtered Out Before a Human Sees It

1. Using a fancy layout the ATS can't read
Tables, columns, text boxes, headers, footers, and graphics look nice in a PDF but break ATS parsing. The system can't figure out the reading order, so your experience gets scrambled or dropped entirely.
Fix: Use a single-column layout with standard formatting. If you want a polished look, keep it simple. Clean fonts, clear section breaks, and consistent spacing.
2. Not matching the job description's language
This is the biggest one. If the posting says "project management" and your resume says "led cross-functional initiatives," you're describing the same work, but only one version gets matched.
Fix: Tailor your resume to each job. Mirror the posting's keywords in your summary, bullets, and skills section.
3. Writing a generic summary
"Experienced professional with a proven track record of success in fast-paced environments." This tells a recruiter nothing about you, the role, or why you're a fit.
Fix: Write a specific summary that names your title, your most relevant experience, and one concrete result. Tailor it to each application.
4. Listing duties instead of accomplishments
"Responsible for managing client accounts" describes a job. "Managed 45 client accounts with a combined ARR of $3.8M, achieving 96% retention" describes what you did with the job.
Fix: Rewrite your bullet points using the action-result format. Start with what you did, end with the outcome. Add numbers wherever you can.
5. Submitting the wrong file format
Some ATS systems handle .docx well but choke on PDFs with embedded fonts or images. Others are the opposite. Submitting a format the system can't parse means your resume might not be read at all.
Fix: Submit .docx unless the posting specifically asks for PDF. If you submit a PDF, make sure the text is selectable (not an image or scanned document).
6. Missing standard section headings
Creative headings like "Where I've Been" instead of "Experience" or "My Toolkit" instead of "Skills" might look clever, but ATS software looks for standard labels to parse your resume.
Fix: Use conventional headings: "Summary," "Experience," "Education," "Skills." Save the creativity for your cover letter.
7. Including outdated or irrelevant experience
A resume that lists every job you've ever had, including the retail position from 15 years ago, buries the relevant stuff. Recruiters scanning quickly won't dig to find it.
Fix: Focus on the last 10 to 15 years of relevant experience. If an older role is directly relevant to the target job, keep it. Otherwise, cut it.
8. Leaving out measurable results
Bullet points without numbers are harder for recruiters to evaluate. "Improved team efficiency" could mean anything. "Reduced average ticket resolution time from 48 hours to 12 hours" tells a story.
Fix: Audit each bullet point and ask: is there a number I can add? Percentages, dollar amounts, team sizes, project counts, and timeframes all work.
9. Using an objective statement instead of a summary
Objective statements ("Seeking a challenging role where I can leverage my skills...") focus on what you want. Summaries focus on what you offer. Hiring managers care about the second one.
Fix: Replace your objective with a 2 to 3 sentence summary that speaks directly to the role.
10. Not proofreading
Typos, inconsistent formatting, and mismatched dates signal carelessness. It's a small thing, but recruiters notice.
Fix: Read your resume out loud. Ask someone else to read it. Check that your dates, job titles, and formatting are consistent throughout.
